Time Matters 11 – HotDocs Active Integration (Bug Fix)

For 15 years I have been working with HotDocs and Time Matters, working to ensure the smooth data-flow between those 2 programs.  We have used several methods, including (1) template registration and field mapping, (2) active integration (lookup from HotDocs), and (3) SQL database integration.

Time Matters/LNTPA Installer Error – InfoEnt.msi – On Open of Windows Explorer and Internet Explorer

I don’t normally post installer bugs, but this is one that crops up from time to time and is difficult to swat down.  And so, for my purposes and anyone who works with Time Matters or LNTPA, here is the solution.  This bug happens because the Time Matters installer as well as the update utility makes registry changes that require a reboot.

Time Matters Installer Error – On Loading Internet Explorer After Upgrade to Time Matters 10 SR2

It happen on a client. Every time they opened Internet Explorer or Outlook, they would get a Time Matters error and it would attempt to run a setup file.  It was looking for a file called infoent.msi. No matter what you did, click Cancel, OK, the problem would keep recycling.  A reboot didn’t solve the problem.  Nothing would make the darn thing go away.  I thought this was isolated to my client, until I started discussing it with other CIC’s.  Marc Wexler had seen it and had a solution.  The best solution came from Wells Anderson.  Read on for the solution.

The True Cause

The cause of the error had to do with a Windows installer that had not “completed” all steps of its installation.  The incompletion was triggered when you opened Outlook or Internet Explorer, most likely because the installation routine, in my case, an upgrade to Time Matters 10 Service Release 2 was trying to build integration to those applications and was interrupted.  When you open one of those applications, it would then try to complete the installation, but since the installer had closed and removed itself, it could no longer find the file “infoent.msi” to complete the action.  I am sure programmers could come up with a more precise explanation.

The Solution

You could call techsupport, if you were on annual maintenance.  Or, you go to the Microsoft Knowledgebase and click on the article titled: Use the Windows Installer CleanUp Utility to remove Office 2000, Office XP, or Office 2003 (found at http://support.microsoft.com/kb/290301).  Or you could just click here to download the Cleanup Utility.

(1) Run the EXE to install the Cleanup Utility
(2) Find “Windows Install Clean Up.
(3) Find the entry for LexisNexis/Practice Advantage installer
(4) Click on Delete.
(5) When done, go into File -> Setup -> General -> Workstation Level and run both the Word Processor Setup and the Additional Program Setup.

The problem should go away.

Database Connection – Vista64 and Windows7

Have you ever tried to add an Access database as a new “datasource” in Vista64 and Windows7? In most cases, you will go WINDOWS START -> Control Panel -> Administrative Tools -> Data Sources (ODBC).  When you click ADD, you will get SQL Native Client and SQL Server.  There will be NO opportunity to add Access or any of the OLDER data types.  These 32-bit datatypes are effectively banished from the system.  Quelle disaster!!!  Well we have a solution, one that is REAL EASY

Correcting Bloated Images in RTF Templates

HotDocs, DealBuilder and GhostFill all work with RTF Templates.  On occasion, a template may include an image for a watermark, a logo, or some other purpose.  Thanks to an ingenious feature of Word, when you some a document to rich-text format (RTF) the images are converted to a useless, but huge windows metafile.  This ensures compatability with ANCIENT word processors, but does nothing for you.  In fact, a simple company logo can expand the size of a short letter from 20K, to 1,200K (or 1.2 MB).  And that is before you start adding text.  The solution is a simple change in the registry for WORD on each machine.

Why does my email inbox take so long to load

When you open your Inbox it may appear to take up to several minutes to load. Time Matters will seem like it is not responding.  Time Matters inbox is “personal” to each user. The inbox contains both Internet Email and Time Matters emails, as well as attachments. The mailbox can quick get overloaded, even when you appear to have been keeping the list of items in your inbox to a manageable roar. In fact, your mailbox is most likely overloaded. There could be hundreds of emails in the Deleted Items folder. There could be emails in subfolders. All take time to load.

The solution lies in regular dilligence on managing your inbox.

  • Keep the number of items in your inbox folder to under 50
  • Set your mailbox settings to show on email list (not inbox) any records that have been associated with a Contact or Matter
  • Create a folder for List-Server mail and set a rule to automatically move the incoming email to that folder
  • Empty the deleted items folder (right-click on folder and choose empy bin)

Why do my autoentry forms include the wrong task links

Auto entry forms are a hybrid between chains and notes. They allow you to structure your tasks and events, much like a chain. And they also allow you to take notes on your tasks. However, if you convert an outline to an Auto entry form, the tasks associated with the underlying record (not the new record) are link to the outline topics.  It is simple to save an outline as an auto entry form. However, before you do that you should make a copy of the form and then remove the links to any associated records.

  • Make a copy of the outline
  • Remove all links to client and matter
  • Make a generic version of the description
  • Right-click on any outline elements that are linked to a task or event records and disassociate the link
  • Standardize and clean up the language
  • Click on the Save As Auto entry Form

You are now ready to go.
